How to systematically track property inquiries: identify the source of each lead, respond promptly, document conversations, and build a process that promotes more meetings and deals each week. No more chasing messages.

Someone wrote "Still relevant?" about an apartment you posted three days ago. Meanwhile, a private message came in about another property, a comment in a local group, and a call you haven't returned yet. If you don't know how to track property inquiries without constantly switching between groups, messages, and calls, you're not really managing leads—you're mostly reacting to whatever popped up last.

An undocumented inquiry is not just a forgotten message. It's a potential client who might get a quicker response from another agent. In a market where the same property, area, and audience appear in dozens of ads, response speed and operational order are a real sales advantage.

The solution is not to add another spreadsheet that no one updates. The solution is to build a fixed path: every inquiry goes to a clear place, gets a status, receives the next action, and is measured by its source. This way, you know where to invest your advertising time, and you keep the leads and deals.

Why do property inquiries get lost?

The problem starts long before the sales stage. Most agents advertise in several groups, post new properties, refresh existing inventory, and simultaneously respond to inquiries from the phone, private messages, and comments. When each property is advertised in multiple places, it's hard to know which ad the inquirer is referring to.

There's also a gap between responding to an inquiry and handling a lead. A response like "Yes, it's relevant" is just the beginning. 4. Set response time according to the inquiry's value

Not every message requires the same response, but no inquiry should remain undecided. Someone asking if the property is still available can get a short and quick response. In a small team, you can divide responsibilities by hours or by areas. In a one-person team, set fixed windows for checking inquiries throughout the day, alongside alerts for urgent messages. Don't measure responses—measure progress towards a deal
